[v4.50] Creation and management of jobs for external signatories (optional)

In addition to internal company personnel, MOXIS also offers external parties the opportunity to sign jobs. This enables people who do not have their own order folder in MOXIS to check a document to be signed and to sign it digitally. This article deals with the topic of creating and managing orders for external signatories.


1. Creation of external orders

To create an external job, start the job creation as usual. As soon as you select an external as the first contact in the iteration level (see figure 1 [1]), the system defines it as external. Name, email address and telephone number of the contacts can be entered and saved if they are not yet saved in the address book.

External contacts can use two signature qualities: simple/advanced and qualified signature. Approval is not provided for external signatories.

Please note: If the signature process is configured so that the signer must authenticate themselves via SMS-Tan or password, the simple signature becomes an advanced one. This is also the case if the recording of biometric data is specified in the process.

2. Managing external jobs

In addition to the general options for managing jobs, there are two further options for processing documents sent to external users in the detailed view of the job:

(1) Open QR code (see figure 2 [1]):

The QR code can be scanned with a mobile phone. The user is then redirected to the signature page on the mobile phone.

(2) Open signature link (see figure 2 [2]):

The link can be used, for example, to send the job via e-mail to the signatory. The user is then redirected directly to the signature page.
